Best AI Notetakers for Recruitment in 2026

Last updated: 1 May 2026. Prices and features were verified on this date via the official vendor pricing pages. Vendors revise their offerings regularly — for the most current information, check the vendor site.
Why a dedicated comparison for recruiters?
The supply of AI notetakers grows every month. General meeting tools like Otter, Fireflies, Read.ai and Fathom are adding recruitment features or integrating with recruitment systems. Recruitment-specific tools like Carv, In2Dialog, Metaview and Simply are built from the ground up for the hiring process — with ATS integrations, data-point extraction and summaries tailored to recruitment context. For a recruiter making a choice it is hard to see through the marketing layer: nearly everyone claims "AI summaries", "ATS integrations" and "real-time insights". The difference lies in what they do with those features under the hood, at what price, and which channels they actually cover.
This article puts eight tools side by side on the criteria that weigh most concretely for recruitment: channels they support (online meetings, in-person conversations, phone), AI-summary quality and templates, ATS integrations, languages (specifically Dutch), pricing in honest annual comparison, and compliance stack for the EU. No "we are the best" framing: alphabetical order, equal depth per vendor, and a verifiable source for every claim. At the end, a scenario section to help you choose based on your own workflow.
Full transparency: this article lives on the Simply blog. Simply sits in position eight of the alphabetical list and is assessed under the same lens as the other seven. Where Simply has a differentiator, it is stated — where competitors do things better, that is stated as well.
How we compared these tools
The eight vendors were selected based on their visibility in the NL/EU recruitment context: a mix of international market leaders (Otter, Fireflies, Read.ai, Fathom, Metaview, Carv) and regional recruitment players (In2Dialog, Simply). Our method:
- Pricing: only annual billing is mentioned for consistent comparison. USD prices converted to EUR at exchange rate ~0.92. Per-user/month normalised.
- Sources: official vendor pricing and feature pages, supplemented with Capterra listings where the vendor itself does not publish pricing.
- Facts about what a vendor "does" or "does not do": based only on publicly available information. Where a feature is not mentioned on public pages, that is how it is phrased — not as an absolute "cannot" claim.
- Order: strictly alphabetical.
- Depth: equal word count per vendor, identical sub-headers (What it is / Strong points / Limitations / Pricing / Best for).
Channel matrix we checked per vendor: Google Meet / Microsoft Teams / Zoom bots, desktop app, mobile app for in-person meetings, VOIP for phone calls (outbound and inbound, including Dutch 06 mobile numbers), audio/video file uploads.
Carv
Carv positions itself as an agentic recruiting platform for volume hiring. Their product line is built around autonomous agents that perform screening, scheduling, sourcing, candidate rediscovery, re-activation, routing, assessment and compliance tasks. The marketing tagline is "Build, deploy & manage recruitment agents at scale" — that is the scope: not a single meeting bot, but a full agent stack that manages the hiring process end-to-end.
Strong points. Carv explicitly targets volume hiring where the pain of manual work is greatest. The agent library covers much of the pre-screening and post-meeting work normally done by a recruiter. For recruitment organisations processing hundreds to thousands of candidates per month (RPO, top-tier staffing agencies, large corporate recruitment teams) the positioning fits.
Limitations. Carv does not publish specific channel support on their public pages. Whether the agent natively integrates with Zoom/Teams/Meet, whether there is a mobile app for in-person conversations, or whether phone is supported — none of these details are publicly documented. ATS integrations are only mentioned generically ("Enterprise-grade integrations connect Carv to your ATS and HR systems"), without a list of specific ATSs. Language support, including Dutch, is not specified.
Pricing.
- Sales-led pricing — no public price on carv.com
- Capterra lists €60/m (vendor-supplied data, no user reviews at time of writing)
- No free trial
Best for. Volume hiring teams looking for end-to-end agentic automation and willing to enter a sales process for pricing and specs. For solo recruiters or small recruitment teams that only want a notetaker, the scope is too broad and the commitment too high.
Fathom
Fathom (formerly fathom.video) is a general AI notetaker focused mainly on productivity and sales meetings. The product joins your calls, transcribes, and delivers AI summaries plus action items in your inbox. A mobile app for recording in-person conversations was recently added — making it more usable for recruiters who also speak on-site.
Strong points. Strong free tier with unlimited recordings and AI summaries — one of the most generous free tiers in this list. Solid integration stack on the Business tier: HubSpot and Salesforce CRM sync, plus Slack, Notion and Asana. The mobile app for in-person meetings is a feature not all generalist tools offer.
Limitations. Fathom is not recruitment-specific. No ATS integrations on the public pages, no CV parsing, no recruitment-template summaries. No VOIP or phone support mentioned. Language support is not on the homepage or pricing page; whether Dutch is supported is not publicly confirmed.
Pricing.
- Free: unlimited recordings
- Premium: ~€14.72/m
- Team: ~€13.80/m (2-user minimum)
- Business: ~€23/m
- All paid tiers: 90-day guarantee
Best for. Recruiters who only need meeting notes (online + in-person) without ATS connection or CV flow. For solo use or small teams that want to stay within the existing free offering — Fathom delivers relatively high value per euro versus general-purpose tools.
Fireflies
Fireflies is a general AI notetaker with a notably broad integration stack. The product is, in core functionality (transcription, summaries, action items), a general-purpose meeting tool, but thanks to integrations with ATS systems and VOIP providers it is more usable for recruitment than many fellow generalists.
Strong points. Broad integration set: ATS via BambooHR, Greenhouse and Lever; CRM via HubSpot, Salesforce, Redtail, Affinity, Wealthbox and Supersales; VOIP via OpenPhone, Zoom Phone, RingCentral and Aircall. For recruiters already in this stack, Fireflies plugs in without extra workflow disruption. Conversation intelligence, talk-time analytics and AI skills on the Business tier make it usable for team coaching.
Limitations. Fireflies is not recruitment-native: no recruitment-template summaries, no CV parsing, no house-style conversion. For Dutch recruiters: the pricing page mentions "100+ languages" for transcription, but their integrations page lists only English, Spanish, German, French and Portuguese (BR) as supported UI/output languages. Dutch AI summaries are therefore not explicitly confirmed on public pages — for recruiters who want certainty about Dutch output, this can be a risk.
Pricing.
- Free: 800 min storage/seat
- Pro: ~€9.20/m
- Business: ~€17.48/m
- Enterprise: ~€35.88/m with SOC 2, SCIM, HIPAA and custom retention
Best for. International recruiters or recruitment teams operating in EN/ES/DE/FR who already use the listed ATS/VOIP/CRM stack. For recruitment teams expecting Dutch output, Fireflies falls short on language grounds.
In2Dialog
In2Dialog is a Dutch recruitment tool focused specifically on processing job interviews. Their product detects real-time data, numbers and signals during the conversation and builds a structured candidate profile that lands directly in your ATS. Native Dutch in both production and support.
Strong points. Native Dutch interface and summaries. Strong set of NL-relevant ATS integrations: Salesforce, Bullhorn, Carerix, Ubeeo and OTYS. ATS connection where interview reports are generated during the conversation and linked to candidate records. Three tier choices (IN2EFFICIENCY / IN2DATA / IN2INTELLIGENCE) provide room to scale — the IN2DATA tier adds custom templates, custom ATS integration and unlimited conversations; IN2INTELLIGENCE adds analysis and a data API.
Limitations.
- Phone calls require a paid add-on ("Integrated Telephony — price on request") on top of the monthly subscription, even on the starter tier.
- CV parsing and CV house-style conversion are not mentioned on the public pages. In2Dialog focuses primarily on conversation intelligence, not on document processing.
- Field-level data-point extraction (specific fields such as desired salary written directly into ATS columns) is not explicitly elaborated — the pricing page only mentions "Data API" as a feature of the most expensive IN2INTELLIGENCE tier.
- Summary types are described generically as "interview report" and "general report" without a named taxonomy per conversation type.
Pricing.
- IN2EFFICIENCY: €29.50/m
- IN2DATA: €39.50/m
- IN2INTELLIGENCE: €49.50/m
- Phone add-on: price on request
Best for. Dutch recruitment organisations that primarily work online and face-to-face and want a strongly focused candidate-profiling process. For teams with substantial phone volume, total cost of ownership tilts due to the add-on cost.
Metaview
Metaview positions itself as an "Agentic Recruiting Platform" with separate products for AI Notetaker and AI Sourcing. The stack focuses on automating interview notes, candidate sourcing and reporting. Their ATS integration set is one of the broadest in this list (50+ languages, 62+ ATS integrations claimed).
Strong points. Broad international ATS stack: Ashby, Greenhouse, Lever, Gem, SmartRecruiters explicitly named, plus a generic "wide range of ATS platforms" claim. Compliance stack: SOC 2 Type II, GDPR, CCPA, AWS UK hosting (data within EU), 256-bit encryption and customisable data retention. Custom templates on the Pro tier for teams that want to model their own interview structure. AI Sourcing as a separate product for teams that also want to automate the pre-meeting side.
Limitations. Metaview's homepage and pricing page do not specify whether there is support for mobile apps for in-person conversations, VOIP/phone, or NL 06 numbers — only video conferencing is generically mentioned. CV parsing is not mentioned as a feature. The ATS stack is US/internationally oriented (Ashby, Greenhouse, Lever) and contains no specifically Dutch ATSs such as Mysolution, Tigris or OTYS. 50+ languages claimed, but Dutch output quality is not explicitly specified.
Pricing — AI Notetaker:
- Free: 25 conversations/m, 14-day history
- Pro: ~€46/m for unlimited conversations + custom templates
- Enterprise: tailored
AI Sourcing is a separate product, starting at ~€92/m/user.
Best for. International or US-oriented recruitment teams with an existing Ashby/Greenhouse/Lever stack that have heavy compliance requirements (SOC 2, GDPR with EU hosting). For NL-only teams with Mysolution or Tigris as their ATS, integration fit is weaker.
Otter
Otter is one of the oldest and best-known general AI notetakers. The core product is meeting transcription and summary, with a notable addition in a separate "Recruiting Agent" product that automates resume summaries and interview flow via Greenhouse sync.
Strong points. Affordable entry: $8.33/m annual (~€7.66) for 1,200 transcription minutes/month on the Pro tier. The separate Recruiting Agent product adds automatic resume summaries (no full CV parsing or house-style conversion), pre-interview agendas and post-interview summaries — a light recruitment workflow for teams that don't want to jump straight into a full recruitment stack. Zoom, Teams, Google Meet and mobile apps (iOS/Android) supported.
Limitations. Dutch is not supported — Otter's pricing page explicitly mentions "AI transcription in English, French, or Spanish". For NL recruitment teams this alone is a blocker. The Recruiting Agent product is geared toward Greenhouse integration via Zapier (not native), and expansion to other ATSs is not explicitly mentioned. No VOIP or phone support. Compliance: HIPAA only on Enterprise.
Pricing.
- Basic (Free): 300 min/m, max 30 min/conversation
- Pro: ~€7.66/m with 1,200 min/m
- Business: ~€18.39/m with unlimited transcription
- Enterprise: custom
Best for. EN/FR/ES recruitment teams that want a light, affordable recruitment flow around Greenhouse. For NL teams or teams that need multilingual support (incl. Dutch), Otter falls short.
Read.ai
Read.ai is a general AI notetaker with broad language support and a focus on meeting-quality coaching. Beyond transcription and summaries, the product also provides talk-time analytics, sentiment tracking and a meeting coach that gives feedback on conversation dynamics.
Strong points. Broad language support — 16+ languages listed, including Dutch. For NL recruitment teams that only want a notetaker without recruitment-specific workflow, this is one of the few international tools that generates Dutch output. Free tier (5 transcripts/m) makes testing low-friction. Premium integrations with Notion, Salesforce, HubSpot, Jira and Confluence.
Limitations. Read.ai is not recruitment-specific. No ATS integrations mentioned, no CV parsing, no recruitment-template summaries, no VOIP/phone support. The meeting-coach features are useful for recruiter development and training, but do not cover the candidate-data flow that recruitment teams need (data points to ATS, CV extraction, etc.).
Pricing.
- Free: 5 transcripts/m, max 1h/meeting
- Pro: ~€13.80/m with unlimited transcripts
- Enterprise: ~€20.70/m with video playback and extended integrations
- Enterprise+: ~€27.37/m with HIPAA, SSO/SAML and custom retention
Best for. NL recruitment teams or solo recruiters that only want a meeting notetaker with Dutch output, without recruitment-stack integration. For teams that want to write data to their ATS or automate CV flows, a recruitment-specific tool is needed.
Simply
Simply focuses on lowering the administrative burden on recruiters and raising the quality and structure of the data in their ATS. By automatically recording conversations across all channels (online, in-person, phone via VOIP), summarising them with recruitment templates, writing data points directly into ATS fields and delivering CVs both parsed and in house style, a structured dataset is created. On that data Simply then layers agentic AI (Simply Ask + AI Matching) — to perform actions autonomously, match candidates better to vacancies and free the recruiter from work a human does not need to do. The stack runs natively inside Salesforce and is built for the NL market with explicit EU AI Act compliance.
Strong points. Simply's biggest differentiator is the dedicated managed Salesforce app — as the only provider in this comparison, Simply delivers the full stack as an installed app inside Salesforce. Three deployment options:
- Salesforce-native (managed app) — for recruitment organisations on Salesforce CRM or on a Salesforce-based ATS (Mysolution, Byner, Tigris). The complete Simply functionality (recording, summarisation, data points, CV parsing, AI Matching) runs natively in Salesforce. No webhooks, no separate connector, the broadest set of automations.
- API access for non-Salesforce ATS/CRM — including Carerix, Recruitee, AFAS, OTYS and HubSpot. One-time implementation fee.
- Standalone via Simply Dashboard — for recruiters without an ATS, or those who want to work outside their ATS.
Features per tier:
- Starter (€15/m): recording via meeting bots (Google Meet, Microsoft Teams) + desktop app for browser meetings + mobile app for in-person conversations + recruitment-template summaries (candidate intake, vacancy intake, evaluation interview) + data-point extraction to ATS fields + CV parsing + house-style conversion.
- Pro (€29/m): everything from Starter + VOIP (outbound + inbound, incl. NL 06 numbers) + unlimited recording + unlimited summarisation + ATS integration + agentic features (Simply Ask + AI Matching).
Compliance on all tiers: ISO 27001, GDPR and EU AI Act compliant.
Limitations.
- Starter is credit-based: 20 credits/m for recording-summaries or document actions. For recruiters with more than ~20 intakes/m, Pro is the relevant tier.
- On Pro, summaries are unlimited, but other actions like CV parsing and CV house-style conversion still cost credits (30/m).
- One-time implementation fees for VOIP integration, non-Salesforce ATS integrations, custom CV-template branding and custom document templates.
- Language support for conversations (input and output): Dutch, English, Spanish, French and Portuguese — narrower than Metaview (50+ languages) or Read.ai (16+ languages). CV parsing accepts input in any language; output (house-style conversion) remains limited to those same 5 languages.
Pricing.
- Starter: €15/m — 20 credits/m, all core features
- Pro: €29/m — 30 credits + unlimited summaries + ATS integration + VOIP + Simply Ask + AI Matching
- Business: €59/m — 60 credits + unlimited recruiter insights + Auto Processing + custom data retention
- Free trial: 10 credits
Best for. NL recruitment organisations that work in a mix of channels (online + in-person + phone) and want to automate the complete intake-to-ATS flow within one tool. For teams running on a Dutch ATS (Mysolution, Tigris, Byner, OTYS), integration fit is strongest.

Which tool for which scenario?
The choice begins with what your workflow actually requires. Two paths run logically apart.
Path 1 — You only need a general notetaker (no recruitment workflow).
If you primarily want generic meeting notes and mostly do online meetings (no ATS connection, CV parsing or recruitment data extraction needed), the general tools are cheaper. All of them support Zoom/Teams/Meet:
- Otter (€7.66/m) — pricing page explicitly mentions only EN/FR/ES, so no Dutch
- Fireflies (€9.20/m) — claims 100+ languages for transcription, but UI/summary output is limited to EN/ES/DE/FR/PT
- Read.ai (€13.80/m) — Dutch explicitly in their 16+ language list
- Fathom (€13.80/m) — no public language confirmation
For recruiters who want certainty about Dutch output, Read.ai is the most explicit option.
Path 2 — You do recruitment and want notes integrated into your workflow. As soon as you need recruitment-specific features (ATS integration, CV parsing, recruitment-CRM data entry, intake templates), you move into the recruitment-specific category. There the choice depends on four questions:
- Do you primarily work online (Teams/Meet)? Simply Starter (€15), In2Dialog (€29.50) or Metaview Pro (~€46) all fit. At €15 vs €29.50, Simply Starter is the cheapest entry point — though you are limited to 20 conversations per month, otherwise you need Pro for unlimited at €29/m.
- Do you need phone intakes? For general VOIP calls, Simply Pro (€29) provides this as standard, In2Dialog (€29.50) has it as a paid monthly add-on (price on request, structurally recurring on top of the subscription). For specifically NL 06 numbers (outbound or inbound mobile), Simply Pro is currently the only one in this comparison that publicly confirms support — In2Dialog does not support 06 numbers. For recruiters with substantial phone volume, total cost of ownership tilts toward Simply.
- Do you do on-site, in-person conversations? Simply (mobile app) and In2Dialog (face-to-face) both support this. Metaview does not specify a mobile app.
- Do you primarily do high-volume hiring with agentic workflows? Carv positions itself there specifically. Expect a sales process — no public price, no free trial.
Honest pricing positioning: Simply is not the cheapest overall — Otter and Fireflies (general-purpose) sit lower. But Simply is the cheapest recruitment-specific tool, and on the €29 tier (Simply Pro vs In2Dialog €29.50) you get a broader channel package included for a comparable price plus recruitment-template summaries, CV parsing and house-style conversion that competitors at that price point do not always cover.
Cost structure: one-off vs recurring
A frequently overlooked detail in comparisons: how is the cost model built up?
- Simply: Pro €29/m includes VOIP functionality. For the actual VOIP integration with your telecom provider, a one-time implementation fee applies (varies per provider). The same applies to non-Salesforce ATS integrations (Mysolution, Byner, Tigris, etc.) — one-time fee, no extra monthly cost afterwards. Salesforce free. Custom CV-template branding and custom document templates: one-time fees.
- In2Dialog: IN2EFFICIENCY €29.50/m includes online + face-to-face. For phone: monthly paid add-on ("Integrated Telephony — price on request"), recurring on top of the subscription.
For recruiters who use VOIP for longer than ~12 months, total cost of ownership tilts toward Simply due to these structural differences. For those who only want to test briefly or do not need phone, the difference is negligible.
